Getting paid as a babysitter or nanny: rates, late pickups and receipts

Getting paid
How do I ask parents to pay me for babysitting without it being awkward?
Send the bill by text as they walk in, so you never say the amount out loud. The text carries one link. The parent opens it in her phone's browser. Venmo, Cash App and PayPal open from buttons, and Zelle details are shown to copy into her bank app.
Tell a new family once, when you book, that you text a bill at the end of each sit. After that, the bill is simply how you work.
Parents never pay me at the end of the night. What do I do?
Make the bill arrive before you leave, and agree the rule in writing: payment the same night, by text or cash. SafeSitter's advice to a sitter with this exact problem was to use a mobile payment app, or to stop taking jobs from that family.
Send the bill before you leave, even when they are tired. If it is still unpaid, send one short, friendly reminder with the link.
SnapPaid sends the bill from your own number as one link. On day 3 it asks you "Did Jen pay?" and one tap sends her a nudge, no more than once every 24 hours.

How do I make a babysitting invoice? Do I need a photo of the kids?
No photo of the children, ever. In SnapPaid the bill for babysitting carries your hours, your rate and a short note instead of a photo. Set an hourly rate and the hours, or a flat price, then send.
The bill is a link that can be forwarded, so use first names or no names for the kids. The bill shows the place only when location is on, so turn location off inside a family's home.
Parents want to pay me weekly instead of each time. Is that normal?
Yes, weekly pay is fine if you both agree the day. SnapPaid makes one bill per sit and has no recurring or scheduled bills. Send each sit's bill as you finish, or send the week's bills together on pay day, one per sit. A bill that covers a whole week is not in SnapPaid yet.
A Tuesday and Thursday family pays cash "when they remember," and you have lost track of which weeks are paid.
Send a bill for every sit, even for cash. When the cash arrives, tap Mark as paid on each one. The family's page in SnapPaid then shows every sit and which ones are still open.
How do I keep track of my babysitting hours?
Write the start and end time on each bill. SnapPaid has no time clock, so it does not track hours for you. Each bill does keep the hours you entered, the time it was sent, and whether it was paid.
A parent disputes the hours: "We were only gone 3 hours."
Text the parents when you arrive and when they get home, then put both times on the bill. That gives you a written record from the same night. A bill is a record of what you charged, not proof of the whole sit.

How much should I charge for babysitting in 2026?
It depends on where you live, and the national figures disagree because they measure different things. UrbanSitter's bookings averaged $26.24 an hour for one child in January 2026. Care.com's listed rates average $20.64 an hour for babysitters and $22.20 for nannies. Check local rates on those sites before you set yours.
Should I charge more for each extra kid?
Yes, an extra child is extra work. UrbanSitter's bookings averaged $26.24 an hour for one child and $29.87 for two, about $3.63 more. Say your rate per number of kids when you book, not at the end of the night.
A friend's child gets dropped off too, and now you are watching three kids at a two-kid rate.
Text the parents right then: "Happy to watch Sam too. With three kids my rate is $X an hour from now." Then bill the new rate for those hours.
How much should I charge for an overnight sit?
We found no reliable national figure for overnight rates. Agree it before the night: one flat price, or your hourly rate for awake hours and a lower rate for sleep hours. Put it in a text so nobody argues about it the next morning. A nanny who is a household employee should ask her state labor department how overnight hours count.
Can I charge a holiday rate for New Year's Eve?
Yes, if you say so when you book. A holiday rate the family hears about at midnight feels like a surprise bill. We found no reliable survey of holiday rates, so set yours by asking what other sitters near you charge.
Can I charge extra for driving kids, errands or housework?
Yes, agree it up front. Driving to soccer, errands and housework are extra work and extra cost. SnapPaid has no mileage feature. Add the amount to the price and say it in the note on the bill: "4 hours plus school pickup and drive to soccer."
How do I ask the family I babysit for for a raise?
Give a date and a number, in writing, a few weeks ahead. Point to what changed: another child, more driving, or local rates. For example: "From November 1 my rate will be $X an hour. I hope to keep going with the kids."
Late pickups, overtime and cancellations
Parents are always late coming home. Can I charge for it?
Yes, every extra minute is time you worked. Set a rule when you book, such as billing in 15-minute steps after the agreed end time. SafeSitter heard from a sitter whose parents were often more than an hour late.
Bill it, at your normal rate, and say so plainly on the bill: "6 pm to 11:15 pm, 5.25 hours." If you let it go once, say so, so it does not become the rule.
SnapPaid bills the hours you enter at your hourly rate, and the note on the bill shows the real times.
It has no automatic late fee and no time clock. You enter the hours yourself.
Should parents pay if they cancel babysitting last minute?
That depends on what you agreed. Write a cancellation rule before the first sit, for example half the booked hours if they cancel within 24 hours. In April 2023, Romper and BuzzFeed reported a Reddit story of a sitter who quoted $840 for a wedding weekend. The family cancelled and refused to pay anything.
If your rule covers it, reply calmly and send the fee as a bill. If you had no rule, decide whether to ask, and write the rule for next time.
You can send a bill for a flat cancellation amount, with "Late cancellation, Sat Oct 10" in the note on the bill.

Do nannies get overtime after 40 hours?
Often, yes. The Department of Labor says non-exempt domestic workers must get at least federal minimum wage and time and a half for overtime. Live-in workers may be exempt from overtime. Casual babysitters, usually 20 hours a week or less in total and not as a full-time job, may be exempt from both. This is not legal advice, and your state may add rules.
You worked 46 hours one week because of a late school event, and the family paid straight time.
Show the family the hours and the Department of Labor fact sheet, and ask for the 6 overtime hours at time and a half. SnapPaid does not calculate overtime or check wage law. If you bill the family in SnapPaid, put the overtime on the bill for the day it fell, with "Overtime, 1.5x" in the note on the bill.
What are guaranteed hours for a nanny?
Guaranteed hours are a set number of paid hours each week, written into your work agreement. The International Nanny Association describes them as industry standard. They protect your pay when the family needs you less.
Does the family have to pay the nanny when they go on vacation?
It depends on your agreement. With guaranteed hours in writing, you are paid those hours whether or not they need you. Without them, you have little to point to, so add them before the next trip.
Late and unpaid families
What do I do if a family doesn't pay me for babysitting?
Talk to them first, and keep a record of your hours and messages. Care.com's guide lists next steps. Call the Department of Labor's Wage and Hour Division (1-866-4USWAGE) or your state labor department. Or ask an attorney, or groups like the National Domestic Workers Alliance. The best prevention is a written agreement on how much and how often you are paid.
How do I remind a parent she still owes me for babysitting?
Send one short text with the date and a link to pay. Keep it friendly and assume she forgot.

If you are the family's employee, you have wage rights under federal and state law. Keep your hours and pay dates in writing. The family says "we already paid you," and I can't find it.
Ask which app and what date, then check that app and your bank. Ask them for a screenshot of the payment. If they tapped "I've paid" on your SnapPaid bill, you got an alert, which helps you know where to look.
Payment apps and tips
Should I use Venmo or Zelle for babysitting money?
Zelle typically charges no fee, but it has no pay link, and Zelle says to send money only to people you know and trust. Venmo is easy for parents, but its user agreement says personal accounts may not be used for business. A Venmo business profile charges 1.9% + $0.10 per payment. SnapPaid shows both on the bill, and takes 0% of either.
Do I pay a fee if parents send babysitting money on Venmo?
On a personal account, no fee for a normal payment. If the parent marks it as goods and services, Venmo charges you 2.99%. On a business profile, Venmo charges 1.9% + $0.10.
Is it OK to use Venmo friends and family for babysitting?
Venmo's user agreement says personal accounts may not be used for business, so a regular sitting business belongs on a business profile. That profile charges 1.9% + $0.10 per payment. If you want to avoid fees, offer Zelle, which typically charges none.
Do parents tip babysitters? Is a tip option on the bill rude?
Some do, and a tip option is not rude when it is optional. SnapPaid's pay page has a tip option the parent can skip. For nannies, Care.com's advice on holiday bonuses is one to two weeks' pay. For regular babysitters, it suggests about an average day or evening's pay.
Receipts for the child care credit and FSA
Parents asked for my Social Security number for their taxes. Is that normal?
Yes. To claim the child and dependent care credit, the IRS says parents must report each care provider's name, address and taxpayer ID number. Your taxpayer ID is your Social Security number or another tax ID. Give it on paper or in person, not in a text or a forwarded link.
Fill in the W-10 yourself and hand it over, or send it in a way you trust. It is a normal request for the credit.

SnapPaid receipts do not carry your Social Security number or tax ID, and you should not add it to a texted link.
What is Form W-10 for babysitters?
Form W-10 is an IRS form parents use to get your correct name, address and taxpayer ID number. They need it for the child care credit. You fill it in and give it to the parent.
Parents need a receipt for their dependent care FSA. What do I put on it?
Ask the parent for her plan's list, because plans differ. One employer's plan, Stanford's, asks for your name and the parent's name. It also wants the children's names and ages, dates of care, your tax ID, the receipt date and your signature. A SnapPaid receipt has your business name, the amount, a date and a PDF download. It has no signature or tax ID field, so it may not contain everything a plan needs.
Send one bill per sit, with the date of care and the hours in the note on the bill, from now on. Give her your tax ID on a W-10 or a signed form her plan accepts, kept off the texted link.
SnapPaid gives her a receipt for each paid bill, with your business name and a PDF she can upload.
It is not an FSA form. It has no signature line or tax ID field, and it does not add children's names unless you type them.
Taxes and household employee rules
Am I self-employed or a household employee as a babysitter?
The IRS test is control. If the family can control not only the work you do but how you do it, you are their household employee. Its own example is a sitter who works in the family's home, follows their instructions and uses their supplies. A sitter who cares for kids in her own home generally isn't the family's employee. Neither is one an agency places and controls.

If I send my own invoices, does that make me self-employed?
No. Your status depends on who controls the work, not on who sends the bill. SnapPaid keeps a record of what you billed and what was paid. It does not decide how you are classified, and it is not payroll.
SnapPaid suits occasional and part-time sitting: date nights, overnights, after-school pickups and backup care. A full-time nanny on a regular schedule is likely the family's employee, and the family usually needs a payroll service. SnapPaid does not withhold tax, file forms or issue W-2s.
What is the nanny tax threshold for 2026?
$3,000. A family that pays one household employee $3,000 or more in cash wages in 2026 generally must withhold taxes. That is 6.2% for Social Security and 1.45% for Medicare. If it pays household wages of $1,000 or more in any calendar quarter, federal unemployment tax applies too. The family then gives you a W-2 by February 1, 2027 and files Schedule H with its return. This is not tax advice.
Does the family need a nanny payroll service, or can I just invoice?
If you are their household employee over the threshold, withholding and filing are the family's job, and an invoice does not replace that. Payroll services handle it: Care.com HomePay starts at $59 a month, Poppins Payroll at $49 and GTM at $70. SnapPaid is for a sitter sending her own bill, not for the family as employer. Do I have to pay taxes on babysitting money?
Yes, you must report babysitting income, cash and app payments included. If you are self-employed and earn $400 or more net, self-employment tax of 15.3% applies. If you are a household employee, the family handles withholding once it passes the threshold. Ask a tax pro which applies to you. This is not tax advice.
Will I get a 1099-K for babysitting money on Venmo?
Only if you get over $20,000 in goods and services payments in more than 200 transactions in a year. Either way, the IRS says you must report the income. Parents paying you for personal care do not file a 1099-NEC for you, because personal payments are not reportable.
Does the nanny tax apply to a babysitter under 18?
Usually not. Wages paid to a household employee under 18 do not count for Social Security and Medicare, unless household work is her main occupation. The IRS says a student's household work isn't her main occupation. Whether a teen must file her own return is a separate question for a tax pro.
Are babysitting tips tax free under the no tax on tips law?
No, tips are still income, but some workers can deduct them. Nannies and babysitters are on the IRS list of tipped occupations. The deduction is up to $25,000 a year for 2025 through 2028, for voluntary tips, and phases out above $150,000 of income ($300,000 joint). Whether you qualify depends on your situation, so ask a tax pro. This is not tax advice.

Do I need a contract to babysit? What goes in a nanny agreement?
Yes, a written one helps, even if it is a text. Care.com says the best prevention for pay problems is a clear agreement on how much and how often. Put in your rate, extra-kid rate, pay day, cancellation rule, late pickup billing and any holiday rate. For a nanny, add guaranteed hours, overtime and paid time off.
A family I found on a sitter site wants to pay me directly. Can I?
Check that site's terms first. Platforms set their own rules on bookings and payments, and breaking them can cost you your account. Keep families you found on a platform on that platform. Use SnapPaid for families you found yourself.
A family from a sitter app asks to "just pay you directly next time."
Read the app's rules before you answer. If they say bookings stay in the app, tell the family so. SnapPaid is not a way around a platform's rules or fees.
