The short answer

How do I invoice a family for caregiving? Is there a free template?

Any template works if it shows the date, the hours, your hourly rate, the total and how to pay. Add a plain line on tasks, such as companionship, meals and errands. Can I get paid by Venmo or Zelle as a caregiver?

Yes, if the family agrees. Zelle typically charges no fee, and Zelle payments cannot be reversed once the recipient is enrolled. Venmo's user agreement says personal accounts may not be used for business; a business profile charges 1.9% + $0.10 per payment. SnapPaid's pay page shows your Zelle email or phone to copy, so nobody retypes a wrong number.

Who should I send the bill to: my client or her daughter or son?

Send it to the family member or agent who manages the money, not to the person you care for. Texting payment requests to an older adult with memory loss can look like financial exploitation, even when the bill is honest. Agree on this when you start, and write it down.

What this looks like

The son who pays lives two states away and has never met you.

He gets one text from your number with one link. It opens in his phone's browser, no app, and shows the date, hours and total for that shift. If he holds power of attorney, the CFPB tells agents to keep a detailed list of money spent on the person's behalf, with receipts. Your receipts help him do that.

How do I get paid when siblings split the cost of mom's care?

Pick one of two setups and write it in your agreement. Either one sibling pays you and settles with the others, or each sibling gets a bill for their share.

What to do

Send each sibling a bill for their share of each shift, with the same date and hours in the note on the bill. If that is too many bills, ask one sibling to pay and settle with the others.

Should I bill weekly or every two weeks?

Either works as a pay day if you agree it in writing, and weekly keeps the amount owed small and each dispute short. AARP's contract advice says to spell out "the frequency and rate of payment." SnapPaid makes one bill per shift and has no recurring invoices. Send each shift's bill as you finish, or send the week's bills together on Friday, one per shift. A bill that covers a whole week is not in SnapPaid yet.

How much should I charge as a private caregiver per hour?

Care.com reports an average starting rate of $22.49 an hour, from $19.15 in Houston to $29.06 in Seattle (Jan 30, 2026). CareScout's 2025 survey puts the national median for non-medical in-home care at $35 an hour, mostly agency rates. AARP says families pay more, sometimes substantially more, for an agency caregiver. Look up your city on Care.com, ask one local agency its hourly price, and set yours with your experience in mind.

Should I charge more for personal care, dementia care or transfers than for companion care?

Yes, if you explain it: price the tasks, not the diagnosis. Bathing, toileting and transfers are more work than company and meals. We found no reliable survey of private rates by type of care. Heavier care also matters for overtime: under federal rules, care tasks over 20 percent of hours can end the companionship exemption.

Should I charge a minimum number of hours per visit?

You can, if you say so before the first visit. A short visit still costs you the drive. Put the minimum in your agreement, and bill it the same way every time so it never looks like a surprise.

How do I charge for a 24-hour shift? Do I get paid for sleep time?

For live-in workers employed by a family, the DOL lets sleep, meal and off-duty time go unpaid by written agreement. Interruptions "must be counted as hours worked," and the family must keep records of the exact hours. If you do not live there, ask your state labor department how sleep time counts. Write down each interruption and how long it lasted that morning. Bill those minutes as hours worked, and say so in the note on the bill.

Live-in caregiver: daily rate or hourly rate?

Either can work, but federal rules still count hours. A live-in worker employed by a family must get at least the federal minimum wage of $7.25 for all hours worked. If you charge by the day, keep a record of the hours behind each day.

What this looks like

You are paid a flat daily rate, and the family wants a monthly total.

Send one flat-price bill per day. Their client page in SnapPaid lists every bill and payment, so the monthly total is easy to add up. A bill that covers a whole week or month is not in SnapPaid yet.

How do I bill a family for mileage and errands?

Agree on a mileage rate in writing first. Then send a separate flat-price bill for each day's miles, with a few words in the note on the bill. For example: "doctor and pharmacy, 18 miles." Each bill has one flat price or one hourly rate, so a one-off kitchen deep clean can be its own flat bill.

Overtime and wage rules

Do private caregivers get overtime? Does the family have to pay over 40 hours?

It depends on your duties and your state. Under federal law, a family employing a caregiver may claim the companionship exemption from minimum wage and overtime. If care tasks exceed 20 percent of hours, you get at least minimum wage, and 1.5 times your rate after 40 hours. This is not legal advice; check your state. DOL Domestic Service FAQ

What is the companionship exemption?

The DOL defines companionship as fellowship and protection for an elderly person or someone with an illness, injury or disability. Care tasks, such as bathing, dressing and meals, may be no more than 20 percent of hours per person per workweek. DOL Fact Sheet #79A

These rules are under review. The DOL proposed changes on July 2, 2025, and we could not confirm a final rule as of Oct 4, 2026; the change mainly affects agencies.

Are live-in caregivers exempt from overtime?

Under federal law, yes, when a family employs them, but they must get at least $7.25 an hour for all hours worked. Care.com HomePay lists ten states with different live-in overtime rules: California, Hawaii, Maine, Maryland, Massachusetts, Minnesota, Nevada, New Jersey, New York and Oregon. DOL Fact Sheet #79B

What are the caregiver overtime rules in California and New York?

In California, covered personal attendants get 1.5 times pay for hours over 9 in a day or 45 in a week. In New York, domestic workers get time and a half after 40 hours a week, or 44 if they live in. Ask your state labor department whether your role is covered; this is not legal advice. SnapPaid does not work out overtime, so bill overtime hours at the right rate yourself, for example on a separate bill.

Late payments and disputes about hours

The family is late paying me. What do I do?

Ask once, gently, in writing, and assume a busy or grieving family before a dishonest one. If they still have not paid, ask who handles the bills now. On day 3, 7 and 14, SnapPaid asks you "Did Karen pay?" One tap sends her a nudge, at most once every 24 hours, and SnapPaid never messages the family on its own.

How do I ask a family for payment without ruining the relationship?

Make the bill routine, not personal. Send the bills on the same day each week, with the same layout, so a reminder is about the bill and not about them. Keep reminders short and kind, and never bring them up in front of your client.

The client's son says I didn't work the hours I billed. What now?

Show your record for each day and talk it through calmly. A daily time in and time out, written at the time, is far stronger than memory. If you made a mistake, fix it with a new bill.

Check your daily log for Tuesday. If you were there, share it calmly. If you did leave early, send a corrected bill.

How do I keep a record of hours worked as a caregiver?

Keep a daily log with the date, time in, time out and main tasks, and ask the family to initial it each week. AARP tells paid family caregivers to "keep a daily log or time sheet," and long-term care insurers ask for the same details. Send one bill per shift, with the hours in the note on the bill, so your bills match your log.

My elderly client says she already paid me, but she didn't.

Don't argue with her. Speak with the family member who handles the money and show them the bill and its status. This is one reason to send bills to that person, not to your client.

My client passed away and my last two weeks are unpaid. How do I get paid?

Give the family a little time, then ask kindly who is handling her accounts. Send that person a bill for each unpaid shift, with the hours on it. Estates can take time to settle, so keep your records. This is not legal advice.

Privacy and dignity

Should I take a photo as proof of a caregiving visit?

Never photograph the person you care for. Bill by hours and a short note instead: on caregiver bills in SnapPaid, the hours and the note on the bill take the place of a photo. A photo only records a moment, not a whole visit or shift.

The family wants proof of the visit, and you will not photograph your client.
What to do

Offer your daily log with time in, time out and tasks. If you ever photograph a finished task, such as a tidied room, keep out faces, medication labels, mail and medical papers.

Should location be on when I bill from a client's home?

Consider turning it off. When location is on, SnapPaid stamps the place at capture, and the home of a vulnerable adult is sensitive. If you keep it on, tell the family what is recorded and who can see it.

What should I leave off a caregiving bill?

Leave off diagnoses, medications and medical details. "Companionship, meals, errands, 4 hours" says enough for payment. The bill travels by text and may be forwarded, so write it as if a stranger could read it.

Long-term care insurance

Does long-term care insurance pay for a private caregiver?

Some policies cover independent caregivers. Genworth defines independent as not providing care at the direction of a home care agency or other business. The family should ask their insurer what their policy covers and which forms it needs, before care starts.

What does a long-term care insurer need from a caregiver invoice?

Usually its own monthly form. MetLife wants its invoice form, one timesheet per caregiver per month, both signatures and proof of payment. Genworth and the Federal LTC Insurance Program ask for daily time in and out, total hours, rate, tasks and signatures; the federal program requires handwritten ones. A SnapPaid receipt can sit beside the claim, but it does not replace the insurer's form.

What to do

Fill in the insurer's own form from your daily log each month and sign it by hand. MetLife cannot process links to Google Drive or iCloud, so the family should send PDF files, not links.

What it does not do

SnapPaid does not produce insurer forms, collect signatures or file claims. It cannot promise any insurer will reimburse.

Can long-term care insurance reimburse payments made by Venmo or Zelle?

It depends on the insurer. MetLife's independent caregiver guide lists Zelle, PayPal and Venmo as accepted proof of payment; Cash App is not on that list. The federal program does not reimburse cash, and the invoice total and proof of payment must match. We could not confirm other insurers' rules, so the family should ask. One bill per shift, matching your daily log, keeps your record easy to check against their form.

Does long-term care insurance pay family members as caregivers?

It depends on the policy. Genworth's invoice form says care provided by family members is typically not covered. The family should check their policy wording with the insurer.

Taxes: employee or contractor

Am I an independent contractor or a household employee as a caregiver?

If the family controls not only what you do but how you do it, you are likely their household employee. IRS Publication 926 lists caretakers, health aides and private nurses as household workers, and invoicing does not change your status. This is not tax advice. IRS Publication 926

Should the family give me a W-2 or a 1099?

A household employee gets a W-2. For 2026 wages, the family gives you Form W-2 by Feb 1, 2027 and files Schedule H with their return. IRS instructions limit Form 1099-NEC to payments made in the course of a trade or business. "Personal payments are not reportable." This is not tax advice.

What this looks like

The family asks you to "send a 1099" at year end, but they set your schedule and tasks.

Care.com HomePay warns that writing "1099" into a contract does not make it correct if you don't meet the contractor guidelines. Suggest the family talk to a tax professional or a household payroll service.

How much can a family pay a caregiver before they owe taxes in 2026?

For 2026, a family paying one household employee $3,000 or more in cash wages generally must withhold and pay Social Security and Medicare taxes. Federal unemployment tax applies if they pay $1,000 or more in any calendar quarter. Care.com HomePay estimates household employment taxes at about 10% of wages. This is not tax advice.

Do I have to report Venmo or Zelle payments for caregiving on my taxes?

Yes, the income is reportable however it was paid. Payment apps send Form 1099-K over $20,000 in more than 200 transactions, but the IRS says to report income either way. If you are truly self-employed, you must file once net self-employment earnings reach $400. This is not tax advice.

Can the family deduct what they pay me as a medical expense?

Possibly, for the nursing-type part. IRS Publication 502 counts services of a kind generally performed by a nurse, even if you are not one. If you also do housework, the payment must be divided between the two, and a bill naming your tasks helps. This is not tax advice.

The family wants my Social Security number for a tax credit. Why?

To claim the child and dependent care credit, the family must give the care provider's name, address and taxpayer identification number on Form 2441. Give your number to them directly and privately. SnapPaid does not ask for it and never shows it on a bill.

Medicaid, family caregivers and starting out

I'm paid through a Medicaid self-directed program. Can I bill the state through an app?

Not through SnapPaid, which isn't for hours paid through Medicaid or a state program. Self-directed programs pay through a Financial Management Services entity that handles payroll, taxes and timesheets. Federal law requires states to use electronic visit verification (EVV) for Medicaid personal care. SnapPaid is not EVV and cannot bill Medicaid, the VA or any insurer.

I'm a paid family caregiver. What records do I need so it isn't treated as a gift for Medicaid?

Start with a written caregiver agreement. AARP warns that paying a family caregiver without a contract can affect Medicaid eligibility; it also says to keep a daily log or time sheet. SnapPaid bills and receipts are a payment record, not a caregiver agreement, and they do not protect eligibility. Talk to an elder law attorney; this is not legal advice.

How do I start working as a private caregiver without an agency?

Find families directly, agree on terms in writing, and know where you stand on taxes. AARP notes that a family hiring directly is responsible for an employer ID number and for withholding and paying payroll taxes. If you find a family on Care.com, follow that platform's terms for payment.

What should be in a caregiver agreement with a family?

AARP says to spell out the schedule, duties and "the frequency and rate of payment." It adds that taxes and Social Security belong in the deal. Add who pays you, how, and on which day. For live-in work, include sleep and meal time, since federal rules require a written agreement to exclude them.

What is the best invoice or billing app for an independent caregiver?
