Records, receipts and taxes for house cleaners

Invoices, cash, Zelle and the 1099-K, in plain words. This is not tax advice.

The short answer

Send a bill for every clean and a receipt for every payment, cash included. Keep one record of who paid, how much and when. Payment apps send a Form 1099-K only when payments pass $20,000 in more than 200 transactions a year, but all income has to be reported either way. For your own situation, ask a tax professional.

What should a house cleaning invoice include?

  • Your business name and how to reach you
  • The client's name
  • The date of the clean and what you did
  • The amount
  • How to pay

A SnapPaid bill carries your name and logo, the client, the date, the job, the amount, the photo of the finished room, and the pay buttons. It has one line per job: no line items, tax fields or payment terms.

What this looks like

A commercial client wants real invoices.

A SnapPaid bill shows your business name, the date, the job, the amount and the photo, and it comes as a PDF. If the client needs a tax ID, purchase order or payment terms on it, SnapPaid can't add those yet.

Do I really need to send invoices?

You can get paid without one. A bill still helps you three ways: it is the ask, done politely; it is your record if there is a dispute; and it is your income record at tax time.

How do I track cash, Zelle and Venmo income for taxes without spreadsheets?

Keep one record no matter how the money came in. In SnapPaid, every clean is a bill, and you mark it paid when the money lands, by any method, cash included. Your Home screen shows what you collected and what is still open.

SnapPaid does not produce tax reports or exports. At year end, download the statements from each payment app as well, and give them to whoever does your taxes.

What this looks like
Tax time is a mess across Venmo, Cash App, Zelle, cash and checks.
What to do

Pick one place where every clean and every payment is recorded, from now on. Keep each app's statements for the year.

What SnapPaid does

SnapPaid keeps every clean with its date, amount and paid or open status, per client, whatever method paid it.

What it does not do

It does not file taxes, track expenses or export a tax report.

How do I keep track of who paid and who didn't?

SnapPaid's Home screen lists what is waiting, what is late and what is paid. When a client taps "I've paid", you get an alert; check the money landed, then confirm.

Do I have to report cash and Zelle money? How do I report Venmo and Cash App?

The IRS says you "must still report any income on your tax return" even if you don't receive a Form 1099-K. That covers cash, Zelle, Venmo and Cash App. How to report it depends on your situation; the IRS has guides for self-employed people, and a tax professional can help. IRS: Understanding your Form 1099-K

Will Venmo send me a 1099-K? Can the IRS see Cash App?

Payment apps file a Form 1099-K with the IRS when your payments pass "$20,000 in more than 200 transactions" in a year, according to the IRS page last reviewed Jun 28, 2026. Below that, you may not get a form, but the income is still reportable. Rules change, so check the IRS page for the current threshold.

Do I need to give a receipt?

It is good practice, and some clients need one for their own records. A receipt also settles "did I pay you?" before it starts.

How do I make a receipt for cash or Zelle?

In SnapPaid, mark the bill paid, then send the receipt. It shows your business, the job, the date paid and the total, and can be downloaded as a PDF.

What this looks like

She paid cash, then later said she hadn't, or the cash left on the counter went missing.

Send a receipt the moment the cash lands, while you are still there. If the money isn't where she said it would be, say so the same day, before you mark the bill paid.

What this looks like

A client or landlord wants an itemized receipt.

SnapPaid receipts have one line per job. Write the rooms or tasks in the note on the bill, such as "Kitchen, 2 baths, oven." They appear on the bill and the receipt.

Where SnapPaid fits

Payment apps move money but send no bill, no reminder and keep no record. Business software does all of it, for a crew, at a crew's price. SnapPaid covers the four steps one cleaner needs.

  1. 1
    Finish and snap
Sealed with the time, and the place when location is on.
  2. 2
    Text one link
From your own number. Nothing for her to download.
  3. 3
    She pays in her app
Venmo, Cash App, PayPal or Zelle, straight to you.
  4. 4
    The record stays
Paid or open, per client, with the photo.

SnapPaid takes 0% of what she pays you. Your payment app may charge its own fees, for example on a Venmo business profile. Fees, explained.
