Getting paid as a tutor: invoices, packages and no-shows
For private tutors paid by Venmo, Cash App, PayPal or Zelle.
Text the bill right after the session, with the time and a short note instead of a photo. The parent pays from one link. SnapPaid takes 0% and costs $9.99 a month after 3 free invoices, though the parent's payment app may charge you its own fee. SnapPaid makes one bill per session and has no packages. Bill each session, or take a package payment directly in your payment app and keep your own count. The one firm rule: students you met through Wyzant or another platform stay on that platform.
Getting paid
Should tutoring be paid before or after the session?
Either works if it is written down. Paying after each session is simple for new families. Paying ahead, by the month or by package, cuts no-shows. One parent on Berkeley Parents Network put it this way: "If they pay in advance, they are much more likely to show up." SnapPaid bills one session at a time, so it fits paying after each session.
How do I make a tutoring invoice?
Put the date, the length, the subject and the price. A few words fit in the note on the bill: "Algebra, 60 min, finished linear equations." In SnapPaid a tutoring bill carries the time and a short note instead of a photo, because you never photograph students. Set an hourly rate and the hours, or a flat price per session, then send it by text.
Use the student's first name only, since a texted link can be forwarded. The bill shows the place only when location is on, so turn location off inside a family's home.
How do I ask parents to pay for tutoring?
Send the bill as the session ends, so the ask is in writing and you never say the amount out loud. The parent opens one link in her phone's browser. Venmo, Cash App and PayPal open from buttons, and your Zelle details are shown to copy into her bank app.
Should I bill monthly or per session?
Per session is easier to track, and it is how SnapPaid works: one bill per session. Monthly in advance gives you steadier income and fewer missed sessions. A bill that covers a whole month is not in SnapPaid yet. Take a monthly prepayment directly in your payment app and keep your own count. SnapPaid has no recurring or scheduled bills.
You have 8 weekly students and lose track of who paid for which week.
Send one bill per student per session, every time. Each family gets its own page in SnapPaid with every bill and what is still open.
Do I need tutoring software, or just an invoice app?
It depends on how much you want automated. TutorBird costs $16.95 a month and adds scheduling, reminders and automatic invoicing. Teachworks starts at $16.49 a month plus $0.32 per lesson and tracks package balances. SnapPaid does none of that: it sends a clean bill by text and asks you whether the family paid. SnapPaid is our app, so weigh this with that in mind.
Pricing
How much should I charge for tutoring in 2026?
Start from local rates. Care.com's listed private tutor rates average $25.59 an hour nationally and $28.48 in Boston, as of September 2026. We found no reliable national figure for SAT and ACT tutors, so compare tutors near you with the same subject and results.
Should I charge less for online tutoring than in person?
We found no reliable figure on the gap. Price what you save and what you spend. In person, you add travel time and gas. Online, you save both. Either keep one rate or lower the online one.
Should I charge for travel time to a student's house?
You can, if you say so before the first session. You can add a flat travel amount or set a higher in-home rate. On the bill, add it to the price and write it in the note on the bill: "60 min plus travel."
How do I bill two siblings? Do I give a discount?
A discount is your choice. Write it down so the family knows the rule. Send each child's session as its own bill, and set each price after any discount.
How do I raise my tutoring rates with existing families?
Give a date and the new rate in writing, a few weeks ahead. A natural time is a new school year or after a break. Say when it starts and whether paid packages keep the old rate.
A family pauses for 8 weeks over the summer, then wants the old rate after you raised prices.
Decide once, and say it plainly. You can honor the old rate to a set date, or start the new rate on return. Then bill the agreed rate.
Packages and prepaid sessions
Should I sell tutoring packages?
Packages get you paid ahead. Write the rules first: how many sessions, by when, and what happens to unused ones. SnapPaid has no packages and bills one session at a time. If you sell packages, take the package payment directly in your payment app and keep your own count. Or skip packages and bill each session as it ends.
How do I track how many sessions a student has left?
SnapPaid has no packages and does not count down sessions, so keep the count yourself. A simple way: write down the payment date and the number of sessions, then text the parent after each session with the number left. If you need automatic balances, Teachworks tracks packages.
Do I have to refund unused tutoring sessions?
That depends on the terms you wrote before she paid. Say in writing whether unused sessions are refunded, moved or lost. SnapPaid never touches the money, so it cannot refund. Any refund happens in the payment app, between you and the parent.
Check your written terms and answer by text. If you refund, send it from your bank's Zelle and note it in your own records.
For sessions you bill in SnapPaid, her page shows each bill and whether it is paid.
It has no packages. It does not track sessions used, hold a prepaid balance or send refunds.
Should tutoring packages expire?
A clear end date keeps a package from dragging on for months. Choose a window that fits, such as the month or the term, and write it in the text where you agree the package: "4 sessions, use by Oct 31."
Cancellations and no-shows
What is a fair tutoring cancellation policy?
A simple one: a cancellation with less than 24 hours' notice is paid. Parents on Berkeley Parents Network gave the same 24-hour rule. Write it before the first session, and send it again when a family books. Even Wyzant allows cancellation fees when the policy was explained to the student before the cancellation.
Cancellation policy
New families, before the first session
Hi Dana, looking forward to Tuesday with Maya. One rule so we're clear: if you need to cancel, please tell me 24 hours ahead. Cancellations inside 24 hours and no-shows are billed as a full session. I text the bill after each session. Thanks, Sara
Should I charge if a student cancels less than 24 hours before?
Yes, if your written policy says so. That hour was held for them and is hard to fill. SnapPaid does not charge fees on its own; you send a bill for the missed session.
A family cancels by text 2 hours before the session, for the third time this month.
Reply kindly, then send the late-cancel bill your policy names. If it keeps happening, offer a different slot or ask for payment before each session.
The student didn't show up for tutoring. Do I charge?
Yes, if your policy covers no-shows. You held the time and may have traveled.
Text the parent that you waited, and send the no-show bill your policy names.
SnapPaid sends a bill for a flat amount with "No-show, Tue Oct 6, waited 30 min" in the note on the bill. The bill is stamped with the time it was sent.
It does not enforce your policy or charge the parent's card. She decides whether to pay.
Do I have to offer make-up sessions?
No, unless your terms promise them. You could offer one make-up per month for cancellations with notice. Whatever you choose, write it in the same text as your cancellation rule.
An online session drops halfway because of the student's internet, and the parent asks for half price.
Decide whether to bill half, the full session, or a short make-up. Then put what happened in the note on the bill: "Algebra, 30 of 60 min, connection lost."
How do I enforce a cancellation fee without losing the family?
Be consistent and calm. Point to the policy they already have in writing, send the bill, and do not argue about it by text. If you want to waive the first one, say it is a one-time pass.
Late-paying parents
A parent hasn't paid for tutoring in a month. What do I do?
Send one clear reminder that names the sessions owed and points to their bills. If nothing comes, ask for a call before the next session. SnapPaid asks you on day 3, 7 and 14 whether she paid, and one tap sends her a nudge, once every 24 hours.
Send a bill for each unpaid session, one per session, and a short nudge. Ask her to pay each bill the day it arrives from now on.
SnapPaid shows each bill as late from day 3 and lets you send a nudge with one tap.
It does not remind parents automatically or charge them. You choose when to nudge.
How do I remind a parent about an unpaid tutoring bill politely?
Keep it short, name the dates, include the link and assume she forgot.
Friendly nudge
Day 3 or later
Hi Dana, a quick reminder about Maya's sessions on Oct 6 and Oct 13. Each one has its own bill and link in my texts from those days. Thanks, Sara
Should I stop tutoring a student whose parents haven't paid?
You can pause until the bill is settled, and say so kindly in writing. Do it before the debt grows. If exams are close, offer to keep going once the open sessions are paid.
In a group session, one family paid and two "forgot." How do I handle it?
Send each family its own bill for its own child, never one shared bill. Each family then has its own link and its own page in SnapPaid, so you can see who is still open.
Platforms and payment apps
How much does Wyzant take from tutors?
Wyzant keeps 25% of your posted hourly rate, so you keep 75%. On a $60 rate you keep $45. Students also pay Wyzant a 9% service fee on top. For students you refer to Wyzant yourself, you keep the full rate.
Can I take my Wyzant students private?
No. Wyzant's payment policy says tutors do not collect payment directly from students for lessons, by cash, check or otherwise. Its tutor agreement allows deactivation for taking students off the site for your own gain. Do not use SnapPaid for Wyzant students.
Say no, kindly: "I keep all Wyzant lessons on Wyzant. It's part of my agreement with them."
SnapPaid is for families you found yourself, through friends, a school flyer or your own site.
It is not a way around Wyzant, Preply, Outschool or any platform's rules or fees.
How much do Preply and Outschool take?
Preply takes 100% of every trial lesson with a new student. On regular lessons it takes 18% to 33%, starting at 33% for new tutors. Outschool takes a 30% fee from paid enrollments and pays out by PayPal 7 to 13 days after class starts.
Is it worth leaving tutoring platforms to go independent?
For new students you find yourself, independent tutoring means no platform cut. You then do your own marketing, billing and chasing. Platforms find students and process payment, and they keep their students. A middle path is staying on the platform for its students and billing your own families yourself.
What is the best way for tutors to get paid: Venmo, Zelle or PayPal?
Zelle typically charges no fee, but it has no pay link, and Zelle says to send money only to people you know and trust. Venmo's user agreement says personal accounts may not be used for business. A Venmo business profile charges 1.9% + $0.10 per payment. PayPal charges 2.99% to receive goods and services payments.
A parent sends money on your personal Venmo marked "goods and services," and you lose 2.99%.
That fee is Venmo's, set by how she sent it: $1.79 on a $60 session. A business profile charges $1.24 on the same $60. Zelle typically charges nothing.
Records and taxes
Do I need to report tutoring income?
Yes, all of it, cash included. Payment apps send a 1099-K only above $20,000 and more than 200 transactions. The IRS says you must report income whether or not you get one. Parents paying you for their own child do not file a 1099-NEC for you, because personal payments are not reportable.
Will Wyzant send me a 1099?
Wyzant's page says it sends a Form 1099 when you make $600 or more in a calendar year. The IRS raised the 1099-NEC threshold to $2,000 for tax years after 2025, so check Wyzant's current rule. Either way, you report all your tutoring income.
Do tutors pay self-employment tax?
Yes, if you are self-employed and your net earnings are $400 or more. The rate is 15.3%: 12.4% Social Security and 2.9% Medicare. This is not tax advice.
Are tutoring tips tax free under the no tax on tips law?
No, tips are income, but some workers can deduct them. Tutors are on the IRS list of tipped occupations. The deduction is up to $25,000 a year for 2025 through 2028, for voluntary tips, with income limits. Some self-employed service fields are excluded, and we did not confirm whether tutoring is one. Ask a tax pro. This is not tax advice.
How do I keep records of tutoring payments for taxes?
Bill every session, including cash, and mark each one paid when the money arrives. SnapPaid keeps every bill and receipt, with a PDF you can download. It has no reports or exports, and it is not tax software.
A college student tutor is paid in cash and has no record by tax time.
Start now. Send a bill for each session, even cash ones, and tap Mark as paid when she hands you the money.
A parent wants a receipt for reimbursement. What should it say?
Ask her for the program's list, because each one differs. A SnapPaid receipt shows your business name, the amount, a date, the note on the bill and a PDF download. It has no signature or tax ID field, so it may not cover everything a program asks for.
Starting out
Do I need a contract with tutoring parents?
A written agreement helps, even if it is a text. Include your rate, when payment is due, packages and refunds, cancellations and no-shows, and make-up sessions. Send it before the first session and keep the reply.
How do I start a private tutoring business?
Pick your subjects and rate, write your payment and cancellation rules, and decide how families pay you. Find students through people you know, schools and your own listings. Keep platform students on their platforms. Then bill every session in writing from day one.
